The BC Council for Families is committed to providing our members, donors, customers and clients with exceptional service. As providing this service involves the collection and use of some personal information, protecting this personal information is one of our highest priorities.
 
This Privacy Policy outlines the principles and practices we follow in protecting your personal information. Our privacy commitment includes ensuring the accuracy, confidentiality, and security of your personal information and allowing you to request access to, and correction of, your personal information.

Scope of this Policy

This Privacy Policy applies to all personal information that is collected, used, or disclosed by the BC Council for Families, whether in oral, electronic or written form. By using this website, you signify your consent to and agreement to be bound by these terms, practices and policy.

Information in the public domain is not subject to privacy legislation and as such is not included in this policy. 

Where BC Council for Families customers, members, donors and clients use their home contact information as business contact information, the Council considers that the contact information provided is business contact information, and is not therefore subject to protection as personal information.

The application of the BC Council for Families Privacy Policy is subject to the requirements and provisions of applicable provincial and federal privacy legislation.

1 – Collection of Personal Information

The collection of personal information is limited to that which is relevant and necessary to our programs and fundraising efforts. The BC Council for Families will identify the purposes for which personal information is collected, at or before the time the information is collected.
The Council’s purposes for collecting personal information include:

  • To develop, enhance and provide services to families and professionals and to market those services
  • To maintain an accurate membership database
  • To manage and develop the BC Council for Families as an organization, including personnel, consultant and volunteer matters
  • To open and manage your account in our online Catalogue of Publications
  • To deliver requested products and services, and manage invoicing and accounting services relating to your transactions
  • To register your participation in a conference, meeting, or other event
  • To establish and maintain relations with existing and prospective donors,
  • To respond to your information requests
  • To meet legal and regulatory requirements; and
  • Additional purposes that are identified to an individual at or before the time of collection

The BC Council for Families will not collect, use or disclose personal information for any new purpose without first identifying the new purpose and obtaining your consent, unless permitted or required by law.

 

2 – Obtaining Consent

We will obtain your consent to collect, use or disclose personal information (except where we are authorized to do so without consent). In obtaining consent, the BC Council for Families will clearly explain the purposes for which personal information will be collected, used or disclosed.

Your consent can be provided orally, in writing, or electronically, or it can be implied, where the purpose for collecting, using or disclosing the personal information would be considered obvious and you voluntarily provide personal information for that purpose (ie. for delivery of products).

Consent may also be implied where a customer or member is given notice and a reasonable opportunity to opt-out of his or her personal information being used for mail-outs, the marketing of new services or products, or fundraising, and the customer or member does not opt-out.

We respect your right to be removed from our mailing lists. Subject to certain legal restrictions, you may withhold or withdraw your consent for BC Council for Families to use your personal information.   Upon receiving written notice of your withdrawal of consent, BC Council for Families will stop collecting, using or disclosing your personal information unless required by law.

We may collect, use or disclose personal information without consent in the following limited circumstances:

  • When the collection, use or disclosure of personal information is permitted or required by law;
  • When the personal information is available from a public source;
  • When we require legal advice from a lawyer;
  • For the purposes of collecting a debt;

3 – Using and Disclosing Personal Information

The BC Council for Families will only use or disclose your personal information where necessary to fulfill the purposes identified at the time of collection, or for a purpose reasonably related to those purposes, such as:

  • To conduct client, customer and/or member surveys in order to enhance the provision of our services;
  • To contact our clients, customers, and members directly about BC Council for Families products, services or events that may be of interest to them

We will not use or disclose your personal information for any additional purpose unless we obtain consent to do so.

We will not sell customer or membership lists or personal information to other organizations.

4 – Retaining Personal Information

The BC Council for Families will retain your personal information only as long as necessary to fulfill the identified purposes for which it was collected, or as required by law.

5 – Ensuring Accuracy of Personal Information

The BC Council for Families will make all reasonable efforts to ensure that your personal information is accurate and complete. Please assist the BC Council for Families in its efforts to provide you with the best possible service, by informing us of any change in your personal information.

6 – Security and Protection of Personal Information

We are committed to ensuring the security of your personal information in order to protect it from unauthorized uses or similar risks.

The following security measures are followed to ensure that personal information is appropriately protected:

  • Commerce functions on the BC Council for Families website are protected by 128-bit Secure Socket Layer encryption, the standard for web-based commerce. The Secure Socket Layer (SSL) protects the information you transmit and prevents interception by unauthorized parties.
  • Credit card information received online is not stored on the server, and all customer information is removed once an order has been fully processed
  • The online publications catalogue of the BC Council for Families uses cookies to help you access pages faster and allow our server to recognize you as you move from page to page.   Cookies are a standard technology that installs a small text file on a visitor's hard drive. The cookie expires as soon as you close your browser window. The BC Council for Families does not use cookies to track a user’s internet history on other sites.
  • Personal information is stored in our database, which is protected by a firewall to restrict unauthorized access.
  • Backup disks and hard copy paper files are securely stored.
  • Only a limited number of authorized BC Council for Families employees have access to secured personal information such as credit card information.
  • Personal information contained in paper format is destroyed by shredding when BC Council for Families is no longer required by law to retain it. Electronic information is destroyed by deletion.
  • We continually review and update our security policies and controls as technology changes to ensure ongoing personal information security.

8 – Access to Personal Information

Requests for access to your personal information held by the BC Council for Families should be directed in writing to:

Access to personal information will not be available over the phone.

We will assist you in identifying your personal information and in completing the request for access. You will be informed in advance of any charges that apply in connection with the request for access. Such charges may related to the transcription, reproduction or transmission of personal information held by the BC Council for Families. We will respond to your request for access within 30 days. If a longer response time is required, you will be advised accordingly.

The BC Council for Families attempts to be as accurate as possible in their product descriptions. However, the BC Council for Families does not warrant that product descriptions in the Catalogue of Publications are accurate, or error-free. If a product offered by the Catalogue of Publications is not as described, your sole remedy is to return it in unused condition. Please review our Shipping and Returns policy for further information.
